Here we discuss our user roles, how our customers generally implement these roles, our feedback forms, and some frequently asked questions.


Marker.io user roles:

We present two feedback forms to your users:

  • Guest form: A simplified feedback form for Public Reporters and Guests.

  • Member form: A more detailed form for Member and Admin feedback.


User Roles Overview


User Roles in Detail

Public Reporter

A Public Reporter is anyone (without a Marker.io account) that can access the website where our widget is installed. By default, we allow Everyone to see the widget.

  • Everyone: Public Reporters are enabled.

  • Logged-in users: Reporting is limited to invited Members and Guests.

  • Hidden: Anyone that is aware of the secret visibility triggers may report.

Public Reporter Personal Information

A Public Reporter will need to submit their Name and Email address when reporting to ensure that you can update them on feedback progress. They only need to submit their name and email once, as it will be cached on their browser.

If your Public Reporters are known users, for example, they already log into your website, you can programmatically pass their name and email credentials via our snippet code. This will ensure that they are not asked for any personal information when reporting feedback. See here for documentation on identifying your Public Reporters.

Public Reporters may be:

  • Users of your web app/site.

  • End users of a website you have developed for your agency clients.

  • Non-technical users.

Public Reporters may:

  • Submit feedback on the Guest Form [more on Forms later].

  • See issue status updates.

  • Add comments on their issues.

Public Reporter Email notifications

We notify Public Reporters via email when:

  • A Public Reporter submits new feedback.

  • Anyone comments on feedback you've reported or commented on.

  • Their issue has been marked as Resolved.

Guests

If your Public Reporter has a lot of feedback, consider promoting them to a Guest. This will allow them to view our Guest Portal, where they can review their feedback. The Guest Portal includes screenshots, comments, and feedback status. It is ideal for keeping non-technical people in the loop without giving them full access to your internal tools.

The Guest Portal View

By default, your Guests can view each other's feedback to help reduce duplication. Note this setting can be changed at the project level:

Project > Settings > General > Feedback visibility > Guests can view and comment on feedback from other guests > Toggle off

Guests can be project stakeholders, including:

  • Clients

  • Beta testers

  • End-users

  • Any other non-technical tester

Usually, Guests do not have access to your internal project management tools.

Guests may be invited to your Marker.io account on a per-project basis.

Guest Email notifications

We notify Guests via email when:

  • Anyone comments on feedback you've reported or commented on.

  • Their issue has been marked as Resolved.

Members

Team Members are users invited to join your team on an account-wide basis. Members will have access to your team's projects unless specified otherwise.

To change that setting: Your Project > Settings > People > Permissions > Switch off "All Members".

Members may include:

  • Internal Project/Product managers setting up Marker.io

  • QA Testers

  • Developers

  • Designers

  • Advanced reporters

Members are typically your trusted work colleagues and can access your internal project management tools.

Members can:

  • Add new projects

  • Change any settings (except for billing)

  • Configure your widget

  • Report via the Member Form

  • Invite Guests to specific projects.

  • Update statuses and add comments on issues submitted by Guests.

  • Access console logs recordings on issues

  • Report from any website using the browser extension.

Member Email notifications

We notify Members via email when:

  • Anyone comments on feedback you've reported or commented on.


Admins

Admin users are similar to Members with the addition of being able to edit advanced settings, including:

  • Branding | Add a company logo. Remove "Powered by Marker.io."

  • Price Plans | Select, Upgrade & Downgrade price plans.

  • Billing | View all past invoices, and edit billing info.

Generally, Admins are:

  • Project managers.

  • Product managers.

  • Members of the finance and procurement teams.


Feedback forms

We provide two feedback form types, Guest Forms and Member Forms which you can make as simplified or as complex as you wish.

Guest form

Guest forms are for Public Reports and Guests.

These user roles are generally less technical. We advise keeping them as simple as possible to ensure you do not overwhelm your users.

Member Form

Member forms are for Members and Admins.

These user roles are generally more technical. We advise having these forms as complex as you wish.


Public Reporters & Guests are free and unlimited on all plans. They do not count against your plan's user quota.

Members and Admins count towards your quota.

FAQ

How do I invite Guests to my account?

There are several methods for inviting Guests to your account

  1. Upgrade a Public Reporter to a Guest.

    If a Public Reporter has already submitted some feedback, you can invite them as a Guest directly from the feedback they submitted.

  2. Invite a Guest from within a project. Project > Settings > People > Invite users.

  3. Invite Guests from your Workspace settings. Clicking on your name on the top right will open up your Workspace settings. From there, you may add your Guests. Here is a direct link to add your Guests.

    Note: If using this method, you need to specify the project you want to add the Guest[s].

How do I invite Members to my account?

Here are some ways to invite members to your account.

  1. Invite a Member from within a project. Project > Settings > People > Invite users.

  2. Invite Members from your Workspace settings. Clicking on your name on the top right will open up your Workspace settings. From there, you may add your Members. Here is a direct link to add your Members.

How do I upgrade a Guest to a Member?

To upgrade a Guest to a Member, navigate to your Workplace/Account settings. People > Guests. Here is a direct link to your Guests.

Click on the "Guest" dropdown and select "Member".

How do I downgrade a Member to a Guest?

To downgrade a member to a Guest, you need to be an Admin on the Marker.io account. The navigate to your Workplace/Account settings. People > Members. Here is a direct link to your Members.

Click on the "Member" dropdown and select "Guest".

Note: When you downgrade a Member to a Guest, you will need to give them per-project access. Go to each project where this guest needs to report feedback and invite them. Project > Settings > People

How do I hide some projects from some members?

If you lock some projects down to specific members, you can achieve this on a project level.

Project > Settings > People > Permissions

Switch off the "All members" toggle

This removes all members except for the person that set up this project. You can manually add any admin/members you wish to that project by clicking on "Invite users."

How do I remove people from my account?

How do I remove people from my subscription is a common query on our helpdesk. Here we list some options depending on the user roles of the people you wish to remove:

How to remove a Member from your account

To remove a Member from your account, navigate to Workspace settings > People > Members

Click on the X next to the Member you wish to delete

You will receive a warning asking you to verify the deletion. Once you are certain, click on Delete User.

How to remove a guest from your account

To remove a Guest from your account, navigate to Workspace settings > People > Guest

Click on the X next to the Guest you wish to delete

You will receive a warning asking you to verify the deletion. Once you are certain, click on Delete User.
